Hide content summary

Admins can hide content from learners while retaining the historical reporting data.

When content needs to be retired or replaced with a newer version, hiding content ensures that historical assignment/completion data is retained, while ensuring that learners cannot access outdated content.

All content types that have an assignment have the ability to be hidden (note that Resources cannot be hidden since there is no direct assignment).

How to hide content

Admins can hide content by clicking the three-dot menu on the top right, and clicking Hide.

Hidden content is indicated with an icon in the Content Library, as well as a “HIDDEN” label. Hidden content can not be assigned to learners.

Hidden content can be restored by clicking the same three-dot menu, then clicking Restore.

Learners that have been assigned hidden content will be able to see the content card in the Archived tab of Learner Home. However, if they click on the content, they will not be able to see the actual content.

If the content is restored, then it will appear in the In Progress, Overdue, or Completed tab, depending on the status of the assignment related to the hidden content.

Content that is hidden can still be seen in the Report Builder if there is any previous completion data associated to it. Assignments from hidden content will also still appear in the Manager Dashboard, however Managers will not be able to view the content itself.

Additional information about hidden content

  1. Notifications associated to hidden content

    1. Any notifications sent out from Workramp app that are associated to hidden content will not be triggered. This includes overdue, due date reminders, and daily/weekly digests.

  2. Content that has Scheduled Assignments

    1. Admins can hide content that have Scheduled Assignments, but any assignments scheduled in the future will not be assigned.

  3. Content that has Assignment Automations

    1. We will prevent Admins from hiding content that has any automations associated to it. Admins will have to remove the content from the automation in order for it to be hidden.

  4. Hiding a Path and hiding content within a Path

    1. Adding modules to a Path: If any content is hidden, it will not display in the Add Module modal

    2. Hiding a Path: If a Path is hidden, the Path itself will be hidden but the modules within the Path will NOT be hidden. Any assignments will remain with the individual modules once the Path is hidden. The Admin is given a warning of this upon clicking Hide in a Path.

    1. Hiding content that exists in a Path: If content is hidden that lives within a Path, it will be removed from the Path. If the content is restored, it will need to be re-added to the Path.

  5. Hiding content within a Library

    1. If a hidden content was associated with a Library gets restored, then the admin will see the restored content in the Library

  6. Viewing hidden content data in the Manager Dashboard

    1. Managers will continue to see assignments and progress associated with hidden content in the Manager Dashboard, so they can see reporting/metrics associated to past completions for their team

      1. The Manager will not be able to view the content itself, since it is hidden

      2. If a Path becomes hidden, the manager will continue to see the completion data for the modules that were within the Path as standalone assignments.

  7. Actions for hidden content

    1. All actions except for Assign will still be available for hidden content. However, none of those actions will actually be triggered (i.e. sending a reminder for hidden content will be enabled, but we prevent the reminder from actually being sent).

  8. Hidden Challenges

    1. Both Learners and Reviewers will no longer be able to see a Challenge that is hidden.

  9. Hiding content that also exists in the Customer Learning Cloud

    1. Similar to what we do with automated assignments, we will prevent Admins from hiding content if it exists in the CLC. The Admin will have to remove it from the CLC before they can hide the content.

  10. Hiding Events that still have active/future sessions

    1. Similar to what we do with automated assignments and content that exists in the CLC, we will prevent Admins from hiding an Event until the upcoming sessions are removed.
