Managing Team Leads in Academies

Customer Learning Cloud: Learn how to give specific Contacts enrollment and reporting capabilities for specific groups of Contacts

Academy Admins now have the ability to define a new Contact type called a Team Lead, which gives specific Contacts the ability to manage a specific group of other Contacts in your Academy. This allows the Team Lead to enroll those Contacts into trainings and report on the engagement and activity.

Team Lead contacts will have a defined scope of other Contacts for their 'team'. This can be defined by the email domain, custom segments, or a combination of both.

How to Set Up a Team Lead

To give a Contact the Team Lead type:

  • Navigate to your Academy

  • Click Contacts from the top nav menu

  • Identify the Contact which you want to provide this ability to

  • Click the overflow menu (three dots) to the right of the Contact

  • Click 'Edit Attributes'

  • Click the 'Contact Type' tab at the top of the drawer

  • Click 'Team Lead

Once Team Lead is selected, you will now define the contacts that this Team Lead will manage through enrollments and reporting.

  • Segments

    • This will allow you to leverage custom Segments to include in this Contact's team

NOTE: ANY contact that belongs to the Segment(s) defined will be visible for the Team Lead to enroll into training and view progress and completion activity

  • Restrictions

    • Option here include:

      • Include all contacts with the same email domain

      • Ability for this Team Lead to invite new Contacts to the Academy

Once a Team Lead has been configured, you can identify the 'Contact Type' from the main Contacts screen.

Team Lead: How to Enroll Contacts into Training and Report on Engagement

Contacts who have been configured as Team Leads will have the ability from the Academy to enroll Contacts into trainings, as well as download a report of activity and engagement for the Contacts associated.

Enrolling Contacts into Trainings

To Enroll a Contact (or multiple Contacts) into a Training as a Team Lead:

  • Log into the Academy with your normal authentication method

  • Navigate to a specific Training

  • Instead of clicking the button to Launch the training, click the new button titled 'Enroll Team'

  • Using the checkboxes, select which Contact(s) you wish to enroll into this training

You should also be able to see any existing enrollments through this view as to avoid dual enrollments.

If the Team Lead has also been given the ability to enroll New Contacts, once a valid email address is entered into the Search bar, you can click the button to Invite the new Contact.

This will create an enrollment into this Training and a new Contact invitation.

The newly-invited Contact will be in 'Pending' status until they have registered/authenticated from the email generated by the enrollment.

Team Lead: How to Download a Report for your Contacts

As a Team Lead, you will have the ability to download a .csv report of enrollment, progress and completion status for all contacts on your 'team' within a given time period.

To download the activity report:

  • Log into the Academy with your normal authentication method

  • Click on your Avatar icon in the top right-hand corner of the header

  • Click "My Team - Reports"

  • Determine the date range in which you'd like your report to cover

  • Click Generate Report

The report should download, and will include the following values:

  • Contact Name

  • Contact Email

  • Contact Status

  • Content Name

  • Content Type

  • Status

  • Enrollment Method

  • Assigned At

  • Started At

  • Completed At

  • Completion Percentage

  • Score

  • Time Spent (min)

  • Last Active At

  • Certificate Expiration (if applicable)

FAQ

  • If a Team Lead is allowed to Invite New Contacts, can they invite someone with any email domain?

    • No - currently, Team Leads are only allowed to invite brand new Contacts with the same Email Domain as the Team Lead

  • Does a Team Lead have to be a Contact in the Academy?

    • Yes - currently Team Leads can only be designated to existing Contacts in the Academy
