Find & Replace functionality will allow Admins to make bulk edits and updates to content at one time instead of sifting through all of your WorkRamp content and editing and publishing each individual piece of content.
This is great for large-scale product, service or terminology changes within your organization
To access the Find & Replace function, navigate to the WorkRamp Admin Console and Employee Learning Cloud, then click ‘Manage Content’ under the search bar, and select ‘Content Actions’.
How to Replace Text in Bulk
Start by typing the text you are looking to replace in the ‘Find’ search bar, then select ‘Find Matches’.
Note: You can also specify text with exact case matching by clicking the ‘Aa’ box within the search bar.
This will search through all WorkRamp Guides, Resources and other content Titles/Descriptions and display any matching text found in the table below the search bar.
Each result found will display:
Match: Brief description/context of the matching text found
Type: The type of content where the text is located (i.e. Flip Card, Callout, Section, Guide description, Path title, etc.)
Training: The title/name of the training object (Guide title, Path title, etc.)
Preview: provides a quick preview that will compare the previous text with the replacement text (requires text entered into the ‘Replace’ bar)
You can also include more columns of information by clicking the ‘Columns’ button and selecting additional columns to display. These additional fields include:
Last Updated By: the last person to update the associated training object
Folder: which content Folder hosts the training object
Field: metadata of the ‘type’
Last Updated: the date of the last update to the associated training object
Once results are found and displayed, you also have the ability to filter the results to narrow the scope of content you’d like to update. The current available filters include:
Type: The type of content (i.e. callout, flip card, section, etc. - this can be helpful if you’d only like to update text in a single type, such as content titles)
Training: This allows you to filter to specific training(s)
State: filters results by either New Drafts, Unpublished Changes or Hidden
All time: filters results by last updated date ranges
Last Updated By: filters by the user(s) who last updated the content
Folder: filters results to specific content folder(s)
To replace text with updated text:
Select the box next to the matches you wish to replace (or click the top box to Select All)
Enter the updated text into the ‘Replace with’ bar at the top next to the Find bar
Click ‘Replace’
You will be shown a modal to ensure you wish to proceed with the replace action, as these actions cannot be undone and would require editing the content or performing another Find & Replace to change.
Once you click ‘Replace’, the job will be started to replace all of the selected matches with the updated text provided.
Note:
For Guides that have unpublished changes, the value will be updated in the latest draft version but the Guide will not be republished.
For Guides that do not have unpublished changes, the value will be updated and the Guide republished.
Viewing history of Find & Replace actions
Given how impactful these actions can be, we have also included a ‘History’ tab at the top of the page, to provide insights and audit trails of any Find & Replace actions that have been taken.
Again, these actions are not reversible, but the History tab will provide the historical records of any bulk content changes that have previously been executed using the Find and Replace functions.
FAQ
Can I undo a completed Find and Replace job?
No - once completed, these actions are not reversible. You would need to either individually update the training objects or perform another Find and Replace.

All Content Titles
All Content Descriptions
Guide Content
Section & Task titles
Text, callouts, flip cards, checklists, knowledge checks, etc.
Resource Content
Text, callouts, flip cards, etc.
Challenge Content
Event titles & descriptions
CMS Content (if applicable)
Will this work for SCORM content?
No - because SCORM files are authored and managed in external tools, Find and Replace does not have the ability to access and make changes to this content - this would need to be done within the third-party tool.
This WILL however allow you update Titles and Descriptions of SCORM content, just not the content from within the SCORM course file.
Can all Content Managers use this function?
No - currently only full system Admins can access and use Find & Replace
