AI Assistant is an on-demand learning assistant built directly into the Guide interface to support Learners throughout their training journey.

The AI Assistant is an on-demand learning assistant built directly into the Guide interface to support Learners throughout their training journey. Acting as a responsive tutor, the bot provides instant answers, simplifies complex concepts, and offers interactive practice tools to ensure learners progress with confidence.

This feature will be behind a feature flag, if you wish to enable please contact your account manager or support.


Overview of AI Assistant Features

The AI Assistant is accessible via a chat experience in the left sidebar of the Guide. It is divided into Three primary categories to help learners digest and master content.

Lesson Help

  • Ask about this lesson: Learners can type specific questions into the chat box to receive additional context or explanations regarding the current Guide content.

  • Get a summary: Automatically generates a detailed summary of the lesson for quick review.

Knowledge Check

  • Take a practice Quiz: Generates an initial set of 5–7 multiple-choice questions. Learners can click "Next" or "Submit" to continue practicing with the AI showing both correct and incorrect answers. Once at the end learners can click to finish or continue to generate more questions.

  • Do Flashcards: Creates 5–7 interactive flashcards based on lesson material. Once learners have viewed all flash cards they can click to finish or continue to generate more allowing learners to practice as long as they need.

Formats

  • Listen to Narration - Allows learners to generate a "read aloud" or text-to-speech version of the guide that narrates the content word-for-word.

  • View Reader Mode - Opens a version of the Guide that strips out the sections/tasks so the learner can read through the entire content on one page.

  • Listen in Podcast Style - Allows learners to generate a podcast version of the Guide content, which they can listen to in a native browser audio player overlaying the Guide.

Note: Use AI Assist to translate content - This is located in the three-dot menu options for the Guide. Allows learners to translate content into multiple different languages with AI Assist.


Managing AI Assistant Settings

Admins can now control the availability of AI features at both the Enterprise and individual Guide levels. By default these features will be disabled globally

Enterprise Configuration

Enabling AI features can be controlled globally within your Enterprise Settings [Settings > Enterprise > AI Settings].

NOTE: Grade Requirements: To maintain assessment integrity, AI features are automatically restricted for any Guides that have a grade requirement enabled. These four features cannot be used in graded environments.

Guide-Level Opt-Out

While enabling is done globally, Admins have the flexibility to enable / disable AI settings for specific Guides.

  • You can opt out of any of the seven features (the four AI tools plus the three formatting modes) at the Guide level.

Note: You cannot enable a feature at the Guide level if it is disabled at the Enterprise level.

Managing Your Global Configuration

It is important to understand the relationship between Enterprise and Guide-level settings:

  • Enabling is Global: You can only enable AI features at the Enterprise level. If a feature is disabled globally, it cannot be turned on for an individual Guide.

  • Opt-out is Local: The Guide-level settings are designed exclusively for disabling features that are otherwise active across your organization.

Automatic Content Updates: If you have previously disabled AI features globally and then re-enable them, WorkRamp will automatically trigger a regeneration for any new content added while the features were off. This ensures your summaries and practice tools are always up-to-date with your latest training materials.


Guide Level Configuration

While AI features are enabled globally within your Enterprise Settings, you have the flexibility to opt-out specific Guides from using these tools. This is particularly useful for sensitive training or content where you want Learners to focus solely on the native material.

  1. Within the Admin Console. Navigate to the Guide you wish to edit.

  2. Edit Guide

  3. Access Settings: Within the Guide editor, locate the General & AI Settings menu located in three-dot menu the top right corner.

  4. Checkbox Features: You will see a list of the seven available features (Chat/Lesson Q&A, Get a Summary, Take a Practice Quiz, Do Flash Cards, Listen to Narration, Listen in Podcast Style, View Reader Mode).

  5. Disable as Needed: Uncheck any feature you wish to remove from the Learner's view.

Note: Graded Content: If your Guide has a grade requirement enabled, the system will automatically disable and hide the Chat, Summary, Flashcards, and Practice Quiz features to ensure the integrity of your assessment.


Learner Experience & Interaction

UI and Accessibility

  • Click to Start: To avoid distractions, the AI Assistant remains minified in the bottom left corner until the learner chooses to interact with it.

  • Persistent History: By default, the system maintains a learner’s chat history indefinitely even if they navigate away from the page.

  • Manual Clear: Learners can manually clear their chat history at any time by clicking the trash icon in the top corner of the chat interface.

  • Frequency: Summaries, Quiz Questions, and Flashcards are generated dynamically. While initial content is established to ensure accuracy, the Infinite Generation feature for quizzes and cards ensures learners do not see the same repetitive content if they choose to continue practicing.
