AI in Analytics Studio: Workbook Agent vs. Omni AI

Meet Analytics Studio's two AI assistants — how they're different, when to reach for each, and how to get the most out of them.

Analytics Studio actually comes with two AI helpers, Workbook Agent & Omni AI, and it's easy to mix them up since they both chat with you in plain English. This guide walks through what each one is great at, when to reach for which, how they work together.

The Two AI Assistants

Workbook Agent

Think of the Workbook Agent as the helpful assistant sitting right beside you while you build — it lives inside the report you're already working on, ready to help you get it over the finish line.

Omni AI

Omni AI is a little different: it's got its own page, so you can ask it anything about your WorkRamp data any time, even before you've opened a report. Here's the fun part — they're connected. Get an answer you like in Omni AI, and you can hand it straight to the Workbook Agent to keep refining. More on that below.

Where you'll find it

Snuggled inside a report you're already building — click the AI icon (stars) next to the field picker in an open Analysis

Its own cozy corner of Analytics Studio, separate from the report-building screen

What it's there for

Helping you finish the report you've already got open

Answering questions and poking around your data before you've built a thing

Need a report open first?

Yep — you'll need a Topic selected and an Analysis open already

Nope — jump in with a blank question anytime

What it can do

  • Turn a typed question into the query behind your report

  • Add filters in plain English (e.g. “only Saturday assignments”)

  • Whip up new measures, like a Score Average

  • Summarize the results in front of you and suggest what to try next

  • Answer a question right there in chat

  • Check your existing dashboards for an answer before building something new

  • Generate a brand-new report and chart from scratch

  • Build you a whole dashboard from one request

  • Read an uploaded screenshot or file for extra context

  • Take your question by voice, not just typing

Data it can see

Just the Topic already selected in your current Analysis

Any Topic you have access to: Assignments, Guide Submissions, SCORM Interactions, Training Catalog, Users

Moving to the other assistant

N/A — you're already in a report, which is home turf for the Workbook Agent

Click Explore on any result to open it as a full report — that hands things over to the Workbook Agent so you can get hands-on

Conversation memory

Wiped as soon as you close the AI panel

Saved automatically as a named chat session in your Chat History

Sharing

Not shared on its own — it lives inside the Workbook you save/share

The chat session itself can be shared with teammates via a link

Best for

Polishing a report you're already elbow-deep in

Quick answers, first drafts, and getting going before a report even exists

When to Use Which

Reach for Omni AI when you haven't opened a report yet and just want a quick answer, like:

  • "What is the overall completion rate for assignments?"

  • "What are the top 10 most assigned trainings?"

  • "Show me assignment completion trends over the last 6 months"

  • "How many users have completed at least one training?"

Stick with the Workbook Agent when you're already inside an Analysis and want to shape it further:

  • You built an Assignments report and want to add a filter: "Only include users in the Sales department"

  • You want a new calculated field, like a Score Average, added right into the report you're in

  • You want the AI to summarize what's in front of you and suggest what to look at next

An easy way to remember it: starting from scratch? Open Omni AI. Already elbow-deep in a report? Stay with the Workbook Agent. And if a chat answer is close but needs some hands-on polish, hit Explore to send it into a report and pick up with the Workbook Agent from there.
