How to Use Omni AI

Open Omni AI

Head to the Analytics Studio and click on the Omni AI. It opens up as its own page, ready and waiting for your first question — no Topic or report needed to get going.

Ask a question — by typing or by speaking

Just type your question the way you'd ask a coworker. By default, the Topic picker sits on Auto-select a topic, so Omni AI reads your question and takes its best guess at which of the Topics fits, no extra effort from you:

  • Assignments — status, progress, scores, completion rates

  • Guide Submissions — quiz and assessment responses

  • SCORM Interactions — detailed interaction data from SCORM courses

  • Training Catalog — training types, categories, and catalog content

  • Users — roles, departments, and activity

For example, ask “What are the top 10 most assigned trainings?” and it'll likely land on Assignments or Training Catalog all on its own. Planning to ask a few related questions in a row — say, a handful about SCORM Interactions? Go ahead and lock that Topic in yourself instead of leaving it on Auto-select. Once you do, Omni AI sticks with it until you change the selection or start fresh.

And don't feel like you have to type everything out — Omni AI supports voice mode too, so you can just click the microphone icon and talk through your question instead. It's a nice shortcut for longer or more conversational asks (just make sure your browser allows microphone access first).

Let it check for an existing answer first

Before building anything new, Omni AI takes a quick look through your existing dashboards and reports to see if something already answers your question. Find a match, and it'll show you a live preview along with a quick explanation of why it's a good fit — so you're never rebuilding something that's already sitting there.

Review the generated query, chart, or dashboard

If nothing existing quite fits, Omni AI puts together a new query and, where it makes sense, a chart or KPI tile. Feel free to poke around the fields it used, refresh the results, or keep the conversation going with a follow-up — like narrowing things down to the last 30 days after your first answer.

Hand it off to a full report with Explore

Got an answer that's a great starting point but you want to really dig in — reorder columns, add a filter by hand, tweak the formatting? That's exactly what Explore is for. Click it on any result and it opens as a full report. From there, the Workbook Agent is right there in the report to keep helping you build. Think of Explore as the handshake between the two assistants: Omni AI gets you moving fast, and Explore passes the baton to the Workbook Agent whenever you want to get hands-on.

Add context with files or screenshots

Want to give Omni AI a bit more to go on? Upload a text or Markdown file, or just paste a screenshot from your clipboard. Handy if you're referencing something documented elsewhere, or you want it to take an existing chart into account.

Turn the conversation into a dashboard

Feeling ambitious? Just ask Omni AI to build you a dashboard — something like “Create a dashboard showing assignment completion by department with monthly trends” — and it'll lay out the tiles and publish it straight to your documents. You can keep tweaking it in the same session afterward.

Find it again: Chat History

Every conversation with Omni AI gets saved automatically to your Chat History, right there in the sidebar. Each session gets an auto-generated name based on what you asked,. Pop back into any past session whenever you like to pick up where you left off

A Few Tips

  • Stick to WorkRamp's own language in your questions (think “completion rate,” “assignment,” “training”) — the closer you get to WorkRamp's terminology, the sharper the results.

  • Omni AI guess the wrong Topic? Just pick the right one yourself from the Topic picker instead of rewording your question — it's almost always quicker.

  • Asking a string of related questions? Lock in a Topic manually so Omni AI isn't re-guessing every single time.

  • Long chat starting to feel unwieldy? A fresh session for a new topic usually gives better results.

  • As soon as a chat answer needs manual tweaking, reach for Explore — much faster than trying to describe an exact formatting change in words.

  • Mic not picking up your voice? Double-check that your browser is allowing microphone access for the Analytics Studio page.
