Using Trash to Restore or Permanently Delete Content

A guide for admins on how to search, restore, bulk-manage, and permanently delete content in the Trash, including how fallback locations and dependencies are handled.

When you delete content, it isn't gone for good right away. Items move to the Trash, where admins can review, restore, or permanently remove them.

Accessing & Searching the Trash

To view deleted items, navigate to the Trash page in your admin menu, Manage Content > Trash.

Sorting & Filtering

  • Sort columns: Click any column header (Name, Location, Date Deleted, or Deleted By) to sort your view (e.g., sort by Date Deleted to see the oldest items).

  • Search: Type an item’s name into the top search bar.

  • Filter: Narrow down your list using filters for Type (Guide, Path, Workflow, Folder, Asset, SCORM, AI Simulation, etc.), Location, Date Range, or Deleted By.


Restoring Content (individually)

Restoring items brings them back into your active library along with their original setup.

  1. Locate the item or folder you wish to recover.

  2. Click the 3 dot menu on the right > Restore.

What happens when you restore?

  • Original Location: The item returns to the exact folder it came from.

  • Fallback Locations: If the original folder no longer exists, content automatically restores to your General folder, and Assets go to the top level of your Asset Manager. A notification banner will appear on your screen confirming where it was placed.

  • Folders & Paths:

    • Restoring a folder brings back the folder and all contents inside it together.

    • Restoring a Path brings back its modules and learner assignments.

If a sub-item inside a folder or Path was previously deleted forever, the remaining items restore normally.

Restoring or Deleting Items in Bulk

To manage multiple items at once:

  1. Select the checkboxes next to the items you want to manage, a count will appear in the top right corner indicating how many items have been selected.

  2. Open the Actions menu and select Restore Selected or Delete Selected.

⏳ Background Processing: For large bulk actions, the process runs in the background. Your page may lock temporarily while the system finishes processing—it will unlock automatically once completed.


Permanently Deleting Content

When you are ready to erase content permanently:

  • Single Item: Select Delete Forever next to the specific item.

  • Entire Trash: Select Empty Trash to clear everything out at once (this also runs in the background for a moment on large libraries).

⚠️ Warning: Permanent deletion cannot be undone. Once an item is removed via Delete Forever or Empty Trash, it cannot be recovered. Items remain in the Trash indefinitely until you choose to restore or permanently delete them—they are never automatically purged.


How Linked Content & Dependencies Work

To prevent broken links, the platform untangles dependencies the moment an item is first moved to the Trash (soft deletion), rather than when it is permanently deleted:

  • Guides in Paths or Academy: Moving a Guide to the Trash automatically removes it from any associated Paths, clears learner assignments to it, and pulls it out of Academy slots, collections, certifications, or promos.

  • Assets: Permanently deleting an Asset or Asset Folder simply marks it as removed across any modules using it.

  • Confirmation Prompts: Because dependencies are resolved when an item is first sent to the Trash, the permanent deletion pop-up only displays a general warning that the action cannot be undone.

Exceptions & Special Cases

  • Workflow Triggers: If a piece of content is actively being used as a trigger inside a Workflow, you cannot move it to the Trash. You will see an "In Use" error message and must remove it from the Workflow before deleting it.

  • Folder Deletions: Permanently deleting a folder will permanently delete everything that was inside it (including sub-folders and their contents).
