What are Folder Level Permissions?

Folder level permissions allow you to give access to training folders within WorkRamp. Once invited, they can create, edit, or assign content based on the access granted.

Admin

  • Can view, edit and assign all training content

  • Can grade Guide submissions for all users

Full Editor

  • For folders they have access to, they can view, edit and assign/unassign training content

  • Can grade Guide submissions for all users

  • For folders they have access to, they can delete training content but not folders as a whole

  • Cannot add or remove Editors

  • Cannot change the access level of Editors

  • For folders they have access to, they can view the access levels of other Editors

Limited Editor

  • For folders they have access to, they can view and edit training content

  • Can only assign trainings to users they manage

  • Can grade Guide submissions for users they manage

  • For folders they have access to, they can delete training content but not folders as a whole

  • Cannot add or remove Editors

  • Cannot change the access level of Editors

  • For folders they have access to, they can view the access levels of other Editors

Edit only

  • For folders they have access to, they can view and edit the training content

  • Cannot assign training content

  • Cannot grade Guide submissions

  • For folders they have access to, they can delete training content but not folders as a whole

Assign only

  • For folders they have access to, they can assign the training content

Read only

How to Grant Access

To provide access to a folder, hover over a folder within the Content Management panel and click the people icon. This will prompt you to add users to this folder, at which point you will have the ability to choose their specific access level. Access can be granted to individuals, groups, or even users who don't exist in WorkRamp yet.

If the user doesn't exist in WorkRamp yet, an email will be sent to the user to create their own account, similar to receiving an invitation to WorkRamp when assigned a training.

If you provide a Group with folder access, anyone that joins the group is automatically given access. Conversely, anyone that leaves the Group is removed from having access.

Managing Folder Access

To manage access to a particular folder, click on the people icon for the folder. All users who currently have access to the folder will be listed, along with their specific access level. Admins and Full Editors will be able to update the access for all users within the folder. Users with Limited Editor, Edit, Assign, and Read access can only see the access granted.

What Will These Users See?

Once added, users will have a new view called "Admin Home" on the top right of their Learner home page which will take them to the Content tab.

The Content tab will only populate with folders the user has been granted access to. Users added via folder-level access will not have access to the other tabs throughout the Admin console, such as Reporting, My Team, or Settings.

Waterfall Permissions

Folder level access also adheres to "waterfall" permissions. A user who has access to a folder will be able to see all items and subfolders within that folder. However, if they are added to subfolders, they will not be able to see items in the parent or sister folders.

Deleting Content

Only Full Editors, Limited Editors and Edit only Editors can delete content within the folder. They cannot delete the folder itself.
