Overview
WorkRamp supports closed captions on uploaded videos in Guides. Captions help learners follow along with video content and are required to enable the Transcripts feature. Viewing videos with captions is a fantastic way to improve the user experience and make videos viewable in different environments.
Start by adding an Upload Video object to your Guide.
You will see the "Add Caption" option below the video.
Adding Captions to a Video
To add captions to a video in a Guide:
Open the Guide in the editor and click on the video block
Click Add Caption
Choose how you want to add the caption:
Auto-generate from video — WorkRamp will use AI to automatically generate captions from your video's audio
Upload a caption file — upload a `.vtt` file you've created externally (e.g. using a tool like Rev or 3Play Media)
In the Search language field, select the language of the captions (e.g. English, Spanish, German)
Click Save
Note: The Search language field is just a label that tells learners what language the caption track is in. It is not a translation tool.
Auto-Generate from Video
If your account has AI features enabled, WorkRamp can automatically generate captions from your video's audio using AI.
How it works:
Select the language your video is spoken in (e.g. if your presenter speaks English, select English)
WorkRamp transcribes the audio and creates a `.vtt` caption file automatically
The caption will appear in your list straight away, but the file generates in the background — it may take a few minutes to be ready
Note: The Search language field is just a label that tells learners what language the caption track is in. It is not a translation tool.
Supported video formats: `.mp4`, `.mov`, `.avi`, `.flv`, `.mpeg`, `.mpg`, `.webm`, `.wmv`
Supported languages: We support 150+ languages, which includes 4 written language variants for non-auto-generated captions only: 'Chinese, Simplified', 'Chinese, Traditional', 'Spanish, Castilian' and 'Spanish, Latin America’
Note: Auto-generate is only available if your organisation has AI features enabled. If you don't see this option, you'll need to upload a caption file manually.
Uploading a Caption File
If you're uploading your own caption file:
The file must be in **`.vtt` format**
In the **Search language** field, select the language the file is written in (e.g. if you're uploading a German caption file, select German)
150+ languages are supported for manual upload, including regional written variants like Simplified Chinese and Latin American Spanish
Managing Captions
Edit an existing caption by clicking the pencil icon — you can update the file, language, or label
Delete a caption by clicking the x icon
Transcripts
Transcripts display the caption text as readable content below the video player. This is useful for learners who prefer to read along, or want to quickly scan the video content.
To enable Transcripts
Add at least one caption to the video first
In the video settings, turn on the **Enable transcripts** toggle
What learners see:
A Transcript button appears below the video
Clicking it expands a panel showing the full caption text with timestamps
Learners can click a timestamp to jump to that point in the video
If the video has multiple caption tracks, learners can switch between them using a dropdown
Learners can use Ctrl+F to search within the transcript text
Note: Transcripts do not highlight or scroll in sync with the video — the full text is displayed at once.
Frequently Asked Questions
Q: Can WorkRamp create the caption file for me?
A: Yes, if your organisation has AI features enabled. Use the **Auto-generate from video** option to have WorkRamp generate captions automatically. If AI features are not enabled, you'll need to create the file externally using a tool like Rev or 3Play Media and upload it as a `.vtt` file.
Q: Can WorkRamp translate captions?
A: No, Workramp does not generate translated captions from video content. If the video is in English it will only produce English Captions, it will not produce Spanish captions from an English video.
Q: What file format do captions need to be in
A: `.vtt` (WebVTT) only.
Q: Can I add captions in multiple languages?
A: No. You can only have one caption track for the same video — one per language.
Q: Can learners turn captions on and off?
A: Yes. Captions appear as a standard CC option in the video player controls, which learners can toggle on or off.
