Looking for an easier way to manage your Groups and alleviate your manual work? Dynamic Groups is here to save the day! With this feature, you can create rules based on attributes to dynamically add users to your Groups.
If you haven't already set up your Groups, check out this help article first.
Note: In order to be able to create Group rules for user attributes outside of Name and Email, you will need to first set up Custom User Attributes.
Getting Started
Navigate to Settings > Groups in the Admin Console > Find the Group and click on the name.
On the Group page, click on the Rules tab.
On the Rules page, click [Add new rule].
In the set up window that appears on the side, click [Add Filter] to set up the filter rules. You will have two options: Add Rule and Add Group. User Attributes are the default fields that are available in WorkRamp (i.e. Name, Email), while Custom Attributes are specific to your account's custom fields and may differ from what is seen in our example screenshots.
Once you select the attribute, enter the value to use as your rule filter. As you are adding rules, you will see a list of users who fit the rules.
If looking to mix And / Or conjunctions for your rules, please see our Advanced Filtering help article.
Here is an example of using the Custom Attribute "Department" to filter for users who are in the Customer Success Department:
Advanced Settings
Auto Update
After setting up your Rules, you will see that Auto Update is enabled. When this is enabled, the Group will be automatically updated when user attributes change.
Rule Exclusions
For any users that you do not want to be dynamically added to the Group based on the Rules, you can add them in the Rule Exclusions box. Users added here will not have their group membership status affected by the rules.
Note: Users who fit the Rules criteria but then are subsequently removed from the Group will be added as "Excluded Users."
FAQs
When do users get dynamically placed into the Group?
If the user attribute is updated by an Admin in the User Settings page, the user is immediately dynamically placed into the Group.
For user attributes that are synced over via HRIS, SSO, or SCIM, these sync nightly so users will not be immediately dynamically placed into the Group.
To have these changes reflected immediately, you can manually sync in your SSO or HRIS provider.
