Automated Repeat Assignments

In order to reduce the need for manually assigning the same content on a regular basis the Repeat Assignment setting automates these re-assignments. Enabling the feature will cut down on repetitive manual assigning for content that is not changing from one assignment interval to the next - such as for Compliance trainings like yearly Sexual Harassment Prevention or bi-annual Security Trainings.

The Repeat Assignment setting is available for Guides, Paths and SCORM modules. Admin can select how frequently an assignment should be repeated and also which groups it should apply to. Once the interval and group criteria has been met, the assignment will be automatically reassigned to all Learners that have been previously assigned the training.

Admins can determine the logic driving the repeat assignment cadence. This can be based on either:

  • Assignment Date - existing logic - assignment date will occur based on the desired interval from the original date of Assignment

  • Completed Date - future assignment dates are based on the desired interval from the previous date of Completion

  • Specific Date - future assignment dates are based on a specific Month and Day every year.

You can also restrict repeat assignments so they only apply to users who are currently members of specific groups, rather than reassigning to everyone who received the content originally.

  • Everyone: This is the default behavior; all previously assigned users will be eligible for the next repeat cycle.

  • Eligible Groups: Only users who are members of the selected groups at the point of reassignment will receive the content again.

Info:

  1. Dynamic Evaluation: If a user has changed roles or left an eligible group by the time the repeat cycle runs, they will not be reassigned.

  2. Manual Exclusions: Users who were manually excluded from the original assignment will remain excluded regardless of their group membership.

Note: For Guides and SCORM modules, there is also a synced progress setting, that allows the user to only have to complete the training once. Please make sure to disable the setting before or while enabling this Repeat Assignments setting.

How to Setup Repeat Assignments

Guides:

  1. Search for the specific Guide.

  2. Click ‘Edit Draft’ on the top right.

  3. In the Guide Editor's top right navigation, click the overflow menu and select 'General & AI Settings':

  4. Check the ‘Repeat Assignment’ box

  5. Choose either Assignment Date, Completed Date or Specific Date as the trigger and fill out the ‘Reassign every’ and ‘Interval’ fields (it is optional to set a re-assignment Due Date).

  6. Choose your Groups criteria

  7. Hit [Save].

SCORM:

  1. Search for the specific SCORM module.

  2. Select ‘Edit’ on the top right.

  3. Click ‘Settings’ on the top right.

  4. Check the ‘Repeat Assignment’ box

  5. Choose either Assignment Date, Completed Date or Specific Date as the trigger and fill out the ‘Reassign every’ and ‘Interval’ fields (it is optional to set a re-assignment Due Date).

  6. Choose your Groups criteria

  7. Hit [Save].

Note: Enabling the setting on the training will add ALL Learners previously assigned the training to the repeating schedule. The input value within ‘Reassign every’ is based on the Learner’s most recent assignment/completion date for a given training, NOT the date you enable this setting.

Paths:

  1. Search for the specific Path.

  2. Click the overflow (three dots) menu on the top right.

  3. Click ‘Settings’.

  4. Check the ‘Repeat Assignment’ box.

  5. Choose either Assignment Date. Completed Date or Specific Date as the trigger and fill out the ‘Reassign every’ and ‘Interval’ fields (it is optional to set a re-assignment Due Date).

  6. Choose your Groups criteria

  7. Hit [Save].

Note: The 'Sync Progress Across Paths' setting for any Guides/SCORM will be respected even if the Repeat Assignment setting is enabled on the Path. If Synced Progress is enabled, it will result in those modules automatically being marked as complete when the new assignment is created. To only have the user receive assignments for the individual modules, you should setup 'Repeat Assignments' on the modules themselves and not the Path.

FAQ

  • What if a user no longer needs to complete the training on a cadence (i.e a Learner is no longer a Manager and does not need to complete the yearly Manager compliance training)?

    • You can remove a user from the Repeat Assignment setting by using the menu beside the user's assignment row and selecting 'Toggle Repeating Exemption Status' or if the repeat assignment has already been disabled, you will see this option for the user:

  • I accidentally disabled the Repeat Assignments for a user. Can I re-enable the setting for their assignments?

    • Yes, you can also 'Toggle Repeating Exemption Status'.

  • What if a user has two assignments for the same Guide?

    • The user's repeat assignment will be based on the most recently assigned training, specifically based on the assignment date.

  • Does the Group Filter update retrospectively?

    • No, the Group Filter only affects the next repeat cycle scheduled after the setting is configured.

  • Does this work for SCORM content?

    • Yes. While SCORM files are authored in external tools , WorkRamp allows you to manage the assignment and repeat logic (including Group Filters) within the platform

  • What happens if a Guide has unpublished changes?

    • For Guides with unpublished changes, the repeat value is updated in the latest draft version, but the Guide will not be automatically republished. If there are no unpublished changes, the Guide is updated and republished.

  • Does the Group Filter apply to users I have manually excluded?

    • Yes, Users who were manually excluded from the original assignment will remain excluded regardless of their group membership.

  • If i copy a Guide, SCORM or Path will the settings persist?

    • Yes, all settings including group selections are preserved if the content is duplicated.
