Employee LMS users will have access to Sales assets made available to them through Libraries if their organization has enabled the CMS.

Accessing CMS Assets
Admins will add CMS assets to Libraries in order to make them available for Employees (i.e. Sales Reps) to discover and use.
See Libraries for Learners for how to access Library content. CMS assets will be similar to other training content types in how they can be discovered.
Previewing Assets
Files
Clicking on a CMS file asset will open it in a preview window.
Note: There are certain assets that are not pre-viewable; if they are larger than 200MB or an unsupported file type. These files can be downloaded to view.

Searching CMS Content
Beyond browsing for files through Libraries, Employees can search for CMS assets by typing in the global search bar (including advanced search) or by searching in the Chrome Extension [link to chrome web store].
Employees can search for content by typing in any keyword and results will show if the text is in the asset’s Title, Description or in the content itself if it is a text-type file (e.g. .pdf).
Note: for uploaded text type files, content will only be indexed and searchable if the file is smaller than 150KB and is one the following types: .txt .pages .numbers .key .odt .ods .odp .rtf .html .xml .doc .ppt .xls .pdf .docx .pptx .xlsx
While browsing content, Employees will see how many total copies, downloads, and views each asset has, and also see when it was last updated.
If Admins have tagged the CMS content, tags are a great way to find matching content in any folder that has those tags.
Sharing CMS Content
Internal Sharing (with colleagues, i.e. other WorkRamp users)
On a file asset while in preview mode, click "Share" and "Share Internally" or copy the URL of a link type asset to your clipboard to share with colleagues. So long as they have access to the Library it is housed in, they will be able to open that same asset in WorkRamp.
External Sharing (with clients or customers)
When an admin has enabled External Sharing for an, clicking the link from the cards or tables in Libraries, or the Share button on a preview page will open a dropdown menu that has the enabled Share Externally option:
As an employee, each time you click "Share Externally" you are generating a unique link the moment you click the button. This makes it a trackable link that you can use for sending to external parties.
When the external party opens the link, they will be asked to enter their email address to self-identify before viewing, it will include your name in the page where they access it through:
You will then receive an email when the external party has entered their email address and viewed the content:

FAQs
How can I share these assets with prospects or users that are not in WorkRamp?
External sharing is available, however you will need to reach out to your Admin to confirm whether this is enabled for your asset(s).
Can I upload my own assets to WorkRamp?
At this time, only Admins can upload files that can be accessed through WorkRamp.
What happens if an externally shared asset gets into the wrong hands, and I want to revoke access?
If an Employee suspects that an unintended recipient has access to a shared asset, they should ask their Admin to edit the asset, and turn off “Allow external sharing” this will make it so no shared assets can be viewed using the share links generated.
