User Imports and Historical Data Imports

Our Support team can assist with a variety of data imports into WorkRamp. Below is a list of imports along with the template that is required for our team to process on the backend:

Employee Learning Cloud

User imports - user import template.csv

This import is run silently to create or update user data.

  • Download and fill the template to create or update users in WorkRamp

    • Email is a required column and should match the email address of the user. If an email address is not found, a new user account will be created with the email listed in column B.

    • Let the Support team know if users will be receiving multiple assignments or one unique assignment

  • To add users into Groups, you can create each Group in WorkRamp and insert the Group Name into column D. If the Group has not been created, the Group name will be created upon running the import.

  • To add Custom Attributes for users, please create each Attribute in your settings and insert the Attribute API Name into separate columns.

Historical data imports - Historical Data Import Template.csv

  • Download and fill the template for applicable Guides, SCORM, and Paths you have created in WorkRamp.

  • Each row should represent an active WorkRamp user and include the WorkRamp Object ID/URL of the Guide, SCORM, or Path. From the admin console, launch the training overview page of the course you'll want the data imported for and grab the URL or ID from the link:

  • Email should match the email address of an active WorkRamp user. If the user does not have an active WorkRamp account, please reference our instructions above on importing user accounts.

  • Created_at column is the assigned date for when the training was previously assigned to the user. Required date format: MM/DD/YYYY

  • Completion Date should reflect when the training was previously completed by the user. Required date format: MM/DD/YYYY

  • Course / Item Title is optional and will not update information in WorkRamp.

Historical data imports for Events - Event_Import_Template.xlsx

We can only import data for events in the past. You will need to create the Event in WorkRamp and the attendance data will be imported for past sessions. We are not able to import registration data at this time.

  • Download and fill the template for applicable Events you have created in WorkRamp.

  • Each row should represent an active WorkRamp user’s attendance for an Event Session and include the Event Link, which is found on the Event overview page (click once on the Event from its content folder and then reference the URL on your browser):

  • Email should match the email address of an active WorkRamp user. If the user does not have an active WorkRamp account, please reference our instructions above on importing user accounts.

  • “First_name” and “last_name” are optional columns.

  • Training_session_start_time should reflect the Event session start time. Use the format provided in this example: MM/DD/YYYY 6:30AM timezone

  • Training_session_end_time should reflect the Event session end time. Use the format provided in this example: MM/DD/YYYY 8:30AM timezone

  • Email the completed csv file to support@workramp.com. Please specify the time zone of the Event session start and end times in your email.

Email the completed csv file to support@workramp.com. Our team will do our best to clarify any data discrepancies with you and import the data within a few business days.

You are welcome to send our team a smaller subset of sample data for any of the templates above to become more familiar with the import process before sending over additional data.

🚨Please Note:

  • If you have Repeat Assignment settings in place, these will trigger training assignments to users if they meet the Repeat Assignment conditions. We recommend reviewing the Repeat Assignment settings and turning off the “sync progress” setting for applicable training before importing data.

  • Badge award emails cannot be turned off and reflect the date of import, so we recommend holding off on attaching Badges to your training until after the data is imported.

  • Importing dates reflecting partial completion progress is not supported.

  • Importing Grades/Scores for Guides is not supported.

  • Importing dates for Challenges or Resources is not supported.

Customer Learning Cloud

This import is run silently to create or update user data.

  • User_email should reflect the email address of your contact.

  • First Name should reflect the first name of your contact.

  • Last Name should reflect the last name of your contact.

    🚨Please Note:

    • Users aren't sent invitation emails when they are added through the Support import process. If you are using email+password as your login method, users will need to use the Forgot Password function to set their password.

    • Importing additional registration field values is not supported.

  • We can import historical data for Guides, SCORM, Resources, Paths, and Certifications that exist in the Academy.

    • Download and fill the template for the applicable Guides, SCORM, Resources, Paths, and Certifications you have published in your WorkRamp Academy

    • Each row should represent an active WorkRamp contact and include the “content_id” of the Guide, SCORM, or Resource, which is found on the training overview page (click once on the training from its content folder and then reference the URL on your browser):

  • User_email should match the email address of an active WorkRamp contact. If the user does not have an active WorkRamp account, please reference our instructions above on importing contact accounts.

  • Registered_date should reflect the date the contact was enrolled into the training. Required format for the date is: MM/DD/YYYY

  • Completed_date should reflect the date the contact completed the training. Required format for the date is: MM/DD/YYYY

Import Awarded Academy Certificates - award academy certifications.csv

  • When importing data for Certifications, we recommend you also download and fill this template for the Certifications you have published in your WorkRamp Academy:

    • Email should exactly match the email address of an active WorkRamp contact.

    • Cert_id is found in the URL on the Certification Settings page:

  • Awarded_at should reflect the date the certificate was awarded to the contact. Use the format provided in this example: MM/DD/YYYY

  • Expires_at should reflect the date the certification expires. This is an optional column and should only be used if also using the expiration settings for your Certification. Use the format provided in this example: MM/DD/YYYY

Email the completed csv file to support@workramp.com. Our team will do our best to clarify any data discrepancies with you and import the data within a few business days.

🚨Please Note:

  • To avoid triggering notifications when importing data for Certifications, we strongly recommend turning off Certification emails from each applicable Certification’s Settings. Toggle off “Send email to users when they have earned/failed this certification”.

  • Data imports may be blocked if training is restricted behind Segments. Please remove any Segment restrictions before importing data.

  • When importing data for Paths or Certifications, be sure to include all Guide, SCORM, or Resource content IDs that make up the Path or Certification on the csv file.

  • Importing dates reflecting partial completion progress is not supported.

User Bulk Deactivate or Deletion - delete_users_template.csv

To bulk deactivate or delete users, we require the user email in one column. When sending the sheet to support@workramp.com, please specify if you would like to deactivate or delete the users in the sheet.

Note: Deactivating a user will preserve their data.

Deleting a user will erase all data associated with their account and cannot be recovered.
