Sharing and Saving in Employee Analytics Studio

WorkRamp Analytics Studio provides Admins with the ability to download, share and/or schedule any documents with themselves or other users. This article will walk you through how to do just that.

Downloading Content

Any report or dashboard can be downloaded from Analytics Studio, depending on which view you are in.

Downloading a single report from a workbook

To download a single report while editing inside a workbook, click the download icon from the top-right corner of the screen:

You will then have the option to rename the file, limit the number of rows downloaded, and adjust the file type:

Downloading from a Dashboard

To download content from the Dashboard view, you can download the entire Dashboard by clicking File > Download:

You can also download individual reports or visualizations from a Dashboard by clicking the overflow (three dots) menu from the top-right of a report or visualization > Download:

Scheduling Delivery of Reports or Dashboards

Analytics Studio also allows you to schedule the delivery of full dashboards or individual reports/visualizations from a dashboard to yourself or other users in real-time, or at a customizable cadence and file type.

To schedule the delivery of a Dashboard or Report:

  1. Navigate to the relevant dashboard

  2. Click File > Deliveries & Alerts

    1. You can also do this from the overflow (three dots) menu > Schedule Delivery at the top-right of any individual report or visualization on the dashboard

  3. In the left-hand menu, you will set the parameters for the delivery

These settings will allow you to determine:

  • Which content from the dashboard to send

    • either the full dashboard or an individual report

  • The method of delivery

    • Email, Webhook or SFTP (you may need an engineering resource if sending data via webhook or SFTP)

  • The name of the file

The ‘Dashboard’ tab within Delivery settings will also allow you to customize the format of the data to be delivered and add any additional filtering of the data.

Options include:

  • Image (PNG)

  • PDF

  • Excel (.xlsx)

  • CSV

The ‘Email’ tab will allow you to enter the email(s) of the desired recipient(s), as well as customizing the subject and body of the message.

The ‘Email’ tab will dynamically adjust based on the ‘Destination’ configuration - i.e. Webhook parameters, SFTP destination, etc.

TIP: You can also set these up as Alerts, to notify yourself or other users when there have been specific changes to this data set (or even if no changes over a period of time)

Deliveries and Alerts can be edited, deleted or subscribed to through the same access point (File > Deliveries & Alerts).

Saving and Sharing Analytics Studio Content

In addition to downloading and scheduling the delivery of reports and dashboards, you also have the option to Share content, either directly with someone, or to a shared location within your Analytics Studio function.

Once you have created a Dashboard, there are two ways in which you can make this available for other users:

Save to a Shared Folder or Hub

To save to a shared location within Analytics Studio:

  1. Click File > Save (or Save As)

  2. Give the document a Name

  3. Select a Shared location to save

We recommend saving to either the Hub or a specific folder within the Hub to ensure easy access for other users

Sharing directly with another User

To share content directly with another user from a Workbook or Dashboard:

  1. click the “Share” button at the top-right of the screen

  2. Type and/or select user(s) from the box at the top

  3. Once you’ve selected user(s), determine the level of access you wish to grant them

    1. Viewer - can only see the data

    2. Editor - can also edit the dashboard & workbook

    3. Manager - can view, edit and manage shared permissions

  4. Click ‘Share’

NOTE: If you do not see the ‘Share’ button, it is likely because either you are not the original owner of the dashboard/workbook, or you do not have ‘Manager’ permission to that dashboard/workbook.
