This article explains how to enable AI Simulations, manage who can access it, assign simulations to learners, and track learner progress. It is written for Administrators and Content Editors.
š Prerequisites
AI Simulations must be enabled for your WorkRamp account before you can set it up. Speak to your Account Manager or Customer Success Executive if you do not have access.
Enabling AI Simulations
Once AI Simulations has been added to your account, navigate to Settings > Integrations > Content to find the AI Simulations tile. The status will show as 'Connected'.
Select 'Open AI Simulations Admin' to go directly to the AI Simulations platform where you can create and manage simulations.
Managing access
From the AI Simulations integration tile, control which learners can see AI Simulations in their Learner Home.
Allow access to all learners
Tick 'Allow all users to access AI Simulations via Learner Home'. This adds an AI Simulations item to the left-hand navigation for all users, giving them access to all published simulations.
Restrict access to specific users or groups
To restrict access to particular individuals or teams, select the 'Permissions' tab from the integration tile and use Custom Permissions to configure granular access.
š Note: We will soon be deprecating this level of access from the integration tile and it will be replaced by having the ability to add AI Simulations to Paths and Libraries
Assigning Simulations

You must publish a simulation before you can assign it to learners. Drafts cannot be assigned. See the Creating an AI Simulation article for how to publish.
Navigate to the simulation you want to assign from the Content list.
Select 'Assign' from the simulation overview page.
In the 'Users/Groups' field, add learners individually or by group.
Optionally, set a 'Due Date', add a 'Message' to the learner, or tick 'Schedule assignment date' to send the assignment at a specific date and time.
Select 'Assign'.

AI Simulations supports the same assignment options you use with other WorkRamp content - due dates, custom messages, and scheduled assignments.
Tracking and Managing Learners
The simulation overview page gives you a real-time view of every assigned learner. At the top of the page, four headline stats are displayed:
Assigned - Total number of learners assigned to this simulation.
Overdue - Number of learners who have missed their due date.
Completion Rate - Percentage of assigned learners who have completed.
Average Grade - Mean score across all completed and failed attempts.
The assignment table below the stats lists every assigned learner with their individual status, progress, grade, due date, completion date, and assigned date. Use the Status and Group filters or search by name or email to find specific learners.
Actions from the overview page
Select the three-dot menu (ā®) next to the simulation title to access additional options:
'Preview' - Run through the simulation as a learner.
'Copy' - Duplicate the simulation.
'Notifications' - Configure email notifications for this simulation.
'Scheduled Assignments' - View and manage any scheduled assignment rules.
'Hide' - Remove the simulation from the content list without deleting it.
'Delete' - Permanently remove the simulation.

Sending reminders
To remind a learner who has not started, is in progress, is overdue, or has failed, select the email icon next to their name in the assignment table. A confirmation is shown after sending.
Deeper analysis
For deeper analysis, select 'Scores, Goals, Insights and more' from the overview page. This opens the full AI Simulations analytics view with individual attempt breakdowns, goal performance, and simulation-specific insights. See the Reporting article for more detail.
AI Simulations in Paths
We have integrated AI Simulations directly into WorkRamp Paths. You can now seamlessly insert real-world, interactive AI practice scenarios into your broader structured learning paths.
Previously, AI Simulations were administered as standalone assignments. With this update, you can position simulation exercises exactly where they make the most sense within a sequential training journeyāsuch as following a foundational Guide or preceding a final certification milestone.
Why It Matters
Structured Skill Application: Ensure learners aren't just consuming content, but are actively applying what they learn in a safe environment exactly when they reach that point in their learning track.
Streamlined Training Paths: Build comprehensive onboarding or role-specific paths that combine videos, guides, and conversational AI practice without fracturing the learner experience.
How to Use It
Navigate to your target Path in the admin dashboard.
Click Add Content and select AI Simulation from the dropdown menu.
Choose the specific simulation scenario you want to include and set its position within your path sequence.
Automated Repeat Assignments for AI Simulations
Continuous skill development is now fully automated. AI Simulations have been integrated into WorkRampās automated repeat assignment engine, allowing admins to schedule recurring simulation practices based on custom cadences.
Instead of manually re-assigning exercises, you can now set AI Simulations to repeat at fixed intervals (e.g., every 6 months) or dynamically reset based on a specific timeframe after a learner's last completion date.

Maintain Peak Performance: Keep critical conversational and procedural skills sharp across your teams without introducing administrative overhead.
How to Use It
Open the desired AI Simulation and navigate to Settings > General Settings
Toggle the feature on and define your cadence rule (e.g., choose between a fixed calendar schedule or a dynamic rule based on X months after completion).
FAQs
Can I assign a simulation to a group?
Yes. In the 'Users/Groups' field, search for and select a group. All members of that group will be assigned the simulation.
Can I unassign a learner after assigning them?
Yes. Select the three-dot menu next to the learner's name in the assignment table and select 'Unassign'.
Can I manually mark a simulation as complete?
Yes. Select the three-dot menu next to the learner's name and select 'Mark as Complete' or 'Mark as Not Started' as needed.
